Terms & Conditions – Seven Springs Retreat

By booking a retreat, program, or service through Seven Springs Retreat or via our website, you acknowledge that you have read, understood, and fully accept the following Terms and Conditions. These are incorporated into the contract automatically, without the need for a signed agreement.

1. Booking & Payments

  • Deposit: A non-refundable deposit of $1,500 USD is required to secure your booking.
  • Balance Payment: The remaining balance must be paid in full at least 60 days before the retreat start date.
  • Payment Methods: Payments can be made via bank transfer. Payments by Visa or MasterCard incur a 3% fee, and PayPal transactions incur a 4% surcharge.
  • Late Payments: If the balance is not received by the due date, Seven Springs Retreat reserves the right to cancel your booking without refund of the deposit.

2. Cancelations & Refunds

  • Guest Cancelations: All payments are non-refundable. However, you may transfer your booking to another person if you notify us at least 30 days prior to the retreat start date.
  • Refund Penalties (If Applicable):
    • 30% penalty if canceled 90+ days before arrival
    • 75% penalty if canceled 31–89 days before arrival
    • 100% penalty if canceled 30 days or less before arrival or in the case of a no-show
    • Non-refundable deposits or third-party supplier charges may apply
    • Refund transfer fees are the responsibility of the client
  • Organizer Cancelations: If the retreat is canceled due to low attendance, unforeseen circumstances, force majeure, pandemics, or travel restrictions, a full refund of payments made to Seven Springs Retreat will be issued. Refunds will be processed within 14 days and returned via the same payment method used. We are not responsible for any additional expenses such as airfare, visa costs, or travel insurance.

3. Travel Insurance

We strongly recommend all participants purchase comprehensive travel insurance, including medical coverage, trip cancelation, delays, and baggage loss. Specific activities like hiking or diving may require special insurance. Seven Springs Retreat is not liable for losses or expenses arising from inadequate insurance.

4. Health & Safety

  • Medical Conditions: Inform us of any relevant health conditions or dietary restrictions at the time of booking.
  • Assumption of Risk: By participating, you acknowledge the risks associated with retreat activities and agree to participate at your own discretion.
  • Health Precautions: Clients are responsible for verifying health requirements with the relevant health authorities in the host country, including vaccinations (e.g., yellow fever, dengue, etc.) and travel health risks.

5. Risk Acknowledgment

Adventure-based activities (e.g., hiking, rafting, diving) involve inherent risks. By participating, you confirm you are medically fit, appropriately trained, and insured. Seven Springs Retreat is not liable for accidents, wildlife encounters, illness, or tropical diseases.

6. Documentation

Clients are responsible for ensuring all travel documents (passports, visas, vaccination certificates, etc.) are valid and up to date. Seven Springs Retreat does not provide legal advice on entry requirements.

7. Pricing & Inclusions

Prices are quoted in USD or IDR. Retreat packages do not include airfare, visas, airport taxes, travel documents, special dietary items (unless stated), beverages, laundry, optional hotel services, or additional costs outside of those listed in the itinerary.

8. Accommodation

Hotel bookings must be made at least one month in advance. Specific room types are subject to availability. Standard rooms are provided unless otherwise stated. Some hotels may require a security deposit or credit card guarantee at check-in.

9. Code of Conduct

To ensure a safe, respectful, and uplifting experience:

  • All participants are expected to treat others and the environment with kindness and respect.
  • Disruptive or harmful behavior may result in immediate removal from the retreat without refund.

10. Photography & Media Consent

  • By attending the retreat, you consent to being photographed and recorded for promotional purposes.
  • If you do not wish to appear in the media, please inform us in writing before the retreat begins.

11. Website Use & Content

Seven Springs Retreat reserves the right to modify the website, its structure, and terms of use at any time. Unauthorized use, reproduction, or distribution of content (text, images, graphics, audio) is prohibited without written permission.

12. Health Monitoring & Data Privacy

As part of our commitment to providing a holistic longevity-focused retreat experience, we offer health tracking during the program. This may include monitoring of key health parameters such as:

  • Blood pressure
  • Oxygen saturation (oximetry)
  • Glucose levels
  • Sleep quality
  • Heart rate variability
  • Other longevity-related metrics

This tracking is designed to enhance self-awareness, optimize your wellness journey, and support progress during and after the retreat.

Additionally, please note that we may invite a licensed medical professional (e.g., a doctor) to be present during certain parts of the retreat to support or supervise health-related tests, should any advanced assessments be offered. Participation in these activities is entirely voluntary, and you will be informed in advance of any procedures requiring medical oversight. You will have the full right to consent or decline any such testing or medical involvement without impact on your retreat experience.

13. Data Handling & Third-Party Services

In order to facilitate accurate and meaningful tracking, some personal health data may be collected through third-party apps or devices (such as wearable technologies or health tracking applications).

By participating, you acknowledge and consent that certain data points may be shared with those platforms solely for the purpose of health monitoring and analysis. These platforms are required to comply with industry standards for privacy and data protection, but Seven Springs Retreat does not control their specific privacy policies.

We commit to handling all collected data confidentially and responsibly, and to never share your personal health information for marketing or non-essential purposes. Participation in health tracking is entirely optional, and you may decline or opt out at any time.

14. Liability & Disclaimer

Seven Springs Retreat acts as an intermediary between guests and service providers. We are not liable for deficiencies, cancelations, delays, or unforeseen changes due to external factors, including weather, political instability, pandemics, or travel restrictions. While we do our best to support affected guests, we are not responsible for any additional costs incurred as a result.

15. Governing Law

These terms are governed by and interpreted in accordance with the laws of the jurisdiction where the event is held.

By booking any retreat or service, you acknowledge that you have read, understood, and agreed to these Terms and Conditions in full.
